Review process

Two kinds of submissions are allowed:

  • Full Paper (max. 8 pages), aimed at oral communication at the conference. Full papers may be published through various channels (see below).
  • Extended Abstract (2-3 pages), aimed at poster presentation at the conference. All accepted extended abstracts will be published in the Extended Abstracts Conference Proceedings.

It is possible to send both a full paper and an extended abstract. Papers can be written in English or Spanish, but the Organizing Committee recomends English. The review process is depicted in the next flowcharts.

Extended abstract review process

Full paper review process

When submitting, authors of Full Papers will be asked to rank their preferences regarding publication channel. Papers will then be prioritized according to reviewer reports. Those sent to journals will undergo the journals' specific review process; if rejected at the journal before January 31st 2022, papers can still be submitted to be considered for publication at Springer's Lecture Notes in Management and Industrial Engineering. Authors might also select "no publication" among their ranked preferences (e.g., someone might prefer "no publication" to prevent interference with future publications).

Given the Conference's online format, conference papers will be synchronously presented online, in virtual paralell sessions. There will also be an adapted procedure for the presentation of posters. Issuance of the various types of certificates (Conference Participants, Paper Author, Session Chair, ...) will be as usual. Virtual social interaction and networking will be encouraged through various means ("Virtual Coffee Breaks", meeting rooms, etc.).

Publications

The following are some of the publication channels for full papers submitted to the Conference (*):

(*) The agreement with other publications is being finalized.

The authors of the best papers will have the possibility of publishing articles in these journals provided their editorial committee approve them, after a second review process. The authors are responsible for complying with the journal requirements (publication format, related documentation - compliance with Ethics Committee rules, fees as well as the follow-up of their articles once they have been incorporated into the review processes in such journals). If these articles are not finally accepted, they can still be submitted before January 31st 2022 to be considered for publication in Springer's Lecture Notes in Management and Industrial Engineering (LNMIE).

Please note that ICIEIM/CIO 2021 will cover the cost of publication for Springer's LNMIE and for the Extended Abstracts Conference proceedings. Any costs involved in the other publications must be borne by the authors, who are therefore encouraged to take them into account while stating their preferences. Some journals and Springer LNMIE might require papers requiring substantial English editing to cover this extra cost. These costs must also be borne by the authors (even for Springer's LNMIE).

ICIEIM/CIO2021 Conference welcomes submissions of scientific papers directly connected with the Conference Topics but also industrial papers demonstrating relevant case studies and implementation.

Paper submission

We welcome original manuscripts contributing to the topics of the conference. “Full papers” are encouraged, but “Extended abstracts” of up to 2-3 pages may also be submitted. We encourage submissions in English, but Spanish is also accepted. All full submissions will be double blind and peer reviewed and evaluated based on originality, technical and/or research content/depth, correctness, relevance to the conference, contribution to the field, readability, and standard of language (English or Spanish).

Submission phases

First phase

The first phase consists of the submission of a pdf version of a “Full Paper” (max. 8 pages) or an “Extended Abstract” (2-3 pages) that will be evaluated by the Scientific Committee. You must follow Springer Guidelines for Authors of Proceedings and use the anonymous template included below, without including authors' names, acknowledgements or any other information that may reveal the authors' identity, please:

To submit your Full Paper or Extended Abstract to the Conference, please go to the Online Conference System (OCS). If you have any doubt, you can read the step-by-step instructions with screenshots for various tasks of the OCS here.

Access to CIO2021 OCS

Please, when preparing your submission, take into account the following issues:

  • Images of people cause difficulties - if a figure contains either an image of a person or some part of a person from which they could recognise themselves (not just, please note, from which someone else could recognise them) and that person is not a member of the group contributing the paper (that is with their names on the paper), then their permission is required for publication. You should give them as much detail as you can about the publication - Title/Journal of publication/Available in Print and Electronic and so on, so that the consent is as informed as possible. We recommend not putting people or parts of people in figures when this can be avoided.
  • If a paper reports a study that was conducted using human subjects, even if it is just a questionnaire, then permission should have been obtained from an appropriate board of ethics (possibly run by a University or one of the larger funding bodies, or sometimes nationally, are all likely places for such) and a statement should be made in the paper (at the end is often a good place in a separate "Statement on Ethical Matters"). This should include:
    1. The precise identity of the ethics body concerned and the fact that they gave approval for the study.
    2. Any identification/serial number for the approval.
    3. A statement that the subjects gave their informed permission.
    4. A statement that the results were anonymised and/or a statement that the subjects have given permission for the publication of the results with their identities attached (unlikely).

Second phase

The second phase, for the accepted contributions, requires submitting a zip file containing the source file (i.e. the word document created using the appropriate template, and including the authors' names and aknowledgements, if appropriate), the final camera-ready paper (the pdf produced with the word document) and a copyright form signed by the corresponding author. If your contribution is a Full Paper, you will also have to include an Extended Abstract (of 2-3 pages, using the corresponding template) in the zip file, where you should write a summary of your paper. This Extended Abstract will be published in the Extended abstracts conference proceedings.

Doctoral symposium call for papers

The Doctoral Symposium is specially designed for students involved in the preparation of their PhD in any area related to the main ICIEIM/CIO2021 topics. This Symposium gives PhD students the chance to actively discuss their research and ideas with senior researchers and receive constructive feedback from members of the research community.

Accepted papers will be presented during the Doctoral Symposium by the PhD students, who should be registered for the conference.

Doctoral Symposium Format

Paper presentation session

PhD students will present in oral format the paper submitted to the conference (if accepted), in the same conditions as authors submitting to the general track. However, in this special session, PhD students will be allowed 5 extra minutes to position the results described in their conference paper within the overall framework of their thesis. In addition, a discussant will be appointed to each paper. The experts and audience will interact with the author, providing constructive advice and suggestions.

The extra 5 minutes could be devoted to provide the following information, in case it has not been delivered in the paper submitted to the conference:

  • Stage of the PhD project: initial stage (first or second year) or mature stage (third year, or later).
  • Background: The problem addressed by this PhD research and a motivation of its importance.
  • Related work: A review of relevant work that has addressed the same problem or a similar one before, emphasizing the differences and advantages of the proposed approach in the PhD.
  • Objectives or research questions of the overall PhD research.
  • Methodology: A description of the methods used to address the objectives or research questions formulated in the PhD research, mentioning how this methodological approach overcomes the current state of the art and how the results will be validated (e.g. prototyping, industry case studies, user studies, experiments, etc.).
  • Preliminary results: A description of the work to-date in the PhD project and results achieved so far.
  • Expected contributions: A list of the expected contributions of this PhD project to both theory and practice.

Submissions and paper preparation guidelines

Participants in the doctoral symposium are subject to the same rules and evaluation criteria as those submitting to the general call for papers. All their submissions are eligible to be published in the conference channels (see list above). In addition, participants of the doctoral symposium are the only candidates eligible for ICIEIM/CIO2021 best PhD paper award, which involves a mention and a diploma to be sent after ICIEIM/CIO2021 conference.

Requirements to participate in the doctoral symposium and the ICIEIM/CIO2021 best PhD paper award:

  • The PhD student is the first author of the paper. The paper can be co-authored by the PhD advisor(s) or other co-authors.
  • The manuscript presented to the ICIEIM/CIO2021 conference is part of the PhD project.
  • The PhD dissertation has not been defended yet.
  • The topic of the PhD project and the associated submission is relevant to the ICIEIM/CIO2021 conference topics.
  • The manuscript has been accepted.
  • The PhD student has registered in the conference and attends the doctoral symposium.

Paper Submission

Submissions to the doctoral symposium should contain the following documents (in English):

  • Manuscript: (full paper): 8 pages as a maximum, they should follow the formatting instructions of the general call for papers.
  • Recommendation Letter: to be signed by the PhD advisor(s) and including the following information:
    • Name and status of the PhD student (first year, second year, etc.).
    • Name(s) of the PhD advisor(s).
    • An assessment of the current status of the PhD.
    • A short paragraph justifying how the manuscript submitted to the conference is related to the overall PhD project.

Submission process phase 1 (blind review), the recommendation letter must not include any personal data such as name of the author (PhD student) or PhD supervisor. To simplify the submission process, the recommendation letter must be included at the end of the paper, all in the same document. Recommendation letter will not be considered as part of the 8-page limit.

Please tick the doctoral symposium box (PhD track) when submitting your paper through the ICIEIM/CIO2021 Conference Management System.

Workshops

Proposals

ICIEIM/CIO2021 Conference welcomes proposals for thematic workshops to be held in conjunction with the main conference. Proposed thematic workshops are organized and designed by the person who submits the proposal. The workshop proposal topics are opened to the areas covered in the main conference topics (from a practical results’ point of view) or other areas not covered there. Workshops provide a space to discuss advanced research and innovative solutions, seeking also to show results achieved from industrial applications and/or research projects. Workshops may also be devoted to thematic case studies, solutions for industrial sectors or best practices and success cases.
